Corporate EDRM business case and action plan
The project issues
Medway Council was already using EDRM (DIP and Workflow) in a number of departments. It wanted to extend the use of EDRM to a corporate level and had identified implementation of the BS ISO 15489-1:2001 best practice framework for information management and record keeping as a key factor in improving records management and supporting effective corporate deployment of EDRM. Socitm Consulting was asked to assess the case for the extension of EDRM according to best practice guidelines and to identify the options and costs for its implementation.
The Socitm Consulting solution
The project began with a gap analysis of current information management processes within the Council to identify the improvements needed to ensure an appropriate, comprehensive, consistent and sustainable approach to record-keeping and EDRM. We assessed current processes, reviewed existing documentation and interviewed key staff and stakeholders across Directorates to understand current record-keeping practices and how the current EDRM system was being used. We also interviewed a number of vendors in order to establish business case options and outline costs.
Our report outlined the benefits associated with corporate deployment of EDRM, including quicker access to better quality data, less duplication of data, and improved efficiencies in the information lifecycle. It also detailed our assessment of the current status of EDRM within the Council, a gap analysis of the specific areas of readiness for corporate EDRM, a review of the options for corporate EDRM including indicative costs, an Action Plan and the likely resources and costs of its implementation.
The benefits to the client
With our extensive knowledge of best practice in information management and EDRM implementation, Socitm Consulting was able to assist Medway Council in identifying gaps and drawing up an action plan for improved records management practice and deployment of corporate EDRM. Medway Council commented that the final report “is a very detailed and useful document which will be helpful in implementing EDRM procedures and systems in Medway”.
