Project management of Revenues and Benefits DIP workflow implementation
The project issues
Merthyr Tydfil County Borough Council wanted to procure and implement an EDMS to manage DIP and improved workflow within its Revenues and Benefits service. It also wanted to integrate the EDMS with its Revenues and Benefits systems. Socitm Consulting was asked to project manage the EDMS procurement and implementation, and its integration with existing systems, beginning with the Benefits system with subsequent roll out to the Revenues system.
The Socitm Consulting solution
We began by procuring an EDMS through GCat (now Catalist) processes. We then project managed the EDMS implementation, which was achieved to deadline and budget. A post implementation review established that the time taken by the Revenues and Benefits service to process claims had been reduced by 50% as a result.
We were then asked to revise the contract with the suppliers of the Council’s Revenues and Benefits system to reflect the ongoing support and development of the product and to integrate it with the EDMS. We successfully negotiated a revised contract with the suppliers that ensured improvements to the system were made and adequate maintenance support was put in place.
The benefits to the client
We were able to provide the Council with expert project management support in systems procurement, implementation and integration and re-engineering of related work processes. As a result, the Council’s Revenues and Benefits service has greatly improved the efficiency with which it processes benefits claims on behalf of customers, and has a relevant and robust contract to support the maintenance and administration of its system.
